Detail-oriented with experience accurately managing multiple tasks and communicating with team members at all levels
Administrative support experience supporting multiple leaders' calendars
Proficient in Microsoft 365 applications (Outlook, SharePoint, Excel)
Ability to maintain a high level of discretion in handling confidential information

Responsibilities

Support Sr. Dir / VP-level team members from the Commercial Impact organization with administrative tasks on an as-needed basis
Make hotel room reservations for senior leaders attending conferences and events
Assist with coordinating travel logistics for senior leaders
Maintain Outlook calendars, including creating and prioritizing appointments and travel
Organize meetings, including multi-attendee scheduling
Interact with senior leaders and executives
Submit monthly expense reporting
Perform other duties as assigned by the Executive Operations team
Collaborate with Business Development and external partners or vendors to coordinate shipping inventory to conferences and events
Assist the Senior Director, Business Development in coordinating conference and event logistics (registering attendees, making dinner reservations, managing hotel reservations)
Support pre-event planning, including internal team communications, booking catering, and scheduling internal prep meetings
Provide general administrative support to the Commercial Impact organization for internal and external events and meetings as needed
