Responsibilities
Deliver and execute administrative duties for the team, supporting the Admin Lead in day-to-day activities
Perform precise and effective calendar management across global time zones, including complex coordination of meetings and video conferences
Coordinate all business travel (domestic and international), including air and ground transportation, hotel reservations, visas, and other travel documentation
Process expenses and compliance documentation in line with company policy
Plan small internal/external events (e.g., strategy sessions, conferences, social events), coordinating logistics such as rooms and meals
Serve as the main point of contact for external visitors, preparing for visits in advance (e.g., coordinating with security, sending necessary forms)
Support onboarding of new hires and offboarding of leavers, including technology and proprietary materials
Use Microsoft Office and collaboration tools proficiently to support recurring activities
Store documents in suitable locations for the team or business (Shared Drive/SharePoint/OneDrive)
Stay up-to-date on trainings and make simple edits to materials as requested
Maintain confidentiality and use discretion when handling sensitive information (e.g., credit cards, passport/visa details)
Independently follow up with others to ensure action items are fulfilled
