Responsibilities

  • Deliver and execute administrative duties for the team, supporting the Admin Lead in day-to-day activities
  • Perform precise and effective calendar management across global time zones, including complex coordination of meetings and video conferences
  • Coordinate all business travel (domestic and international), including air and ground transportation, hotel reservations, visas, and other travel documentation
  • Process expenses and compliance documentation in line with company policy
  • Plan small internal/external events (e.g., strategy sessions, conferences, social events), coordinating logistics such as rooms and meals
  • Serve as the main point of contact for external visitors, preparing for visits in advance (e.g., coordinating with security, sending necessary forms)
  • Support onboarding of new hires and offboarding of leavers, including technology and proprietary materials
  • Use Microsoft Office and collaboration tools proficiently to support recurring activities
  • Store documents in suitable locations for the team or business (Shared Drive/SharePoint/OneDrive)
  • Stay up-to-date on trainings and make simple edits to materials as requested
  • Maintain confidentiality and use discretion when handling sensitive information (e.g., credit cards, passport/visa details)
  • Independently follow up with others to ensure action items are fulfilled
