Position Overview
We are seeking a skilled and experienced Bookkeeping Specialist to join our team. This role involves managing monthly client accounting and bookkeeping projects, ensuring accuracy and quality in financial documentation, and supporting the client accounting service (CAS) team.
Requirements
- Education: Bachelor's Degree in Accounting, Finance, or a related field.
- Experience:
- 3-5 years of recognized bookkeeping or Client Accounting Service (CAS) experience.
- A minimum of 2 years of recent, hands-on experience with QuickBooks Online or QuickBooks Desktop.
- Bookkeeping Proficiency:
- Proficient in QuickBooks, including transactional accounting.
- Ability to navigate various workflows such as Accounts Receivable (A/R), Accounts Payable (A/P), payroll, sales tax, journal entries, financial reporting, 3rd party app integration, and banking/credit card reconciliations.
- Tax Knowledge: Knowledge of US tax laws, regulations, and deadlines.
- Preferred Credentials/Certifications:
- QuickBooks Online Pro Certification or QuickBooks Online Advanced Certifications.
- CPA license or Bookkeeping certification.
- Some knowledge of accounting and tax in the cannabis industry.
Responsibilities
- Perform monthly client accounting and bookkeeping projects.
- Maintain client books according to supervisor instructions.
- Review CAS projects to ensure the quality of documentation, including:
- Checking Tax Basis of Financials (Cash or Accrual).
- Matching Balance Sheet to prior year tax return.
- Reversing entries for AP, AR, Cash, Credit Cards, and Loans.
- Matching Payroll Wages and Payroll Tax to Payroll Tab.
- Ensuring bank and credit card accounts are properly reconciled each month.
- Ensuring auto loan accounts are properly reconciled or adjusted.
- Analyzing balance sheet comparisons and identifying document differences.
- Verifying that items under $1K are not capitalized to fixed assets.
- Presenting Revenue variances to the Managing Partner for resolution.
- Presenting variances in Tax Payable to the Managing Partner for resolution.
- Completing Tax Workpaper allocations on the Profit & Loss (P&L).
- Handle customer service and client communication as needed.
- Refresh and ensure the accuracy of the following Workpapers:
- A03 Payroll tab
- U01 Revenue Tab
- C01 Cash Tab
- K01 Tab (Credit Card, Auto Loans, and Tax Payable)
- Assist with miscellaneous projects, including:
- Tax vouchers and extensions.
- Franchise Tax Board projects.
- Assemblies and partner job status meetings (updating jobs in Office Tools - Compliance).
- Office Tools management.
- Entering clients into Lacerte and client folders.
- Pulling missing data reports from Lacerte for individual tax returns for the tax team.
- Provide backup support for support staff as needed.
