We are seeking a highly organized, proactive, and experienced Senior Executive Assistant to provide comprehensive administrative support to a key APAC-based executive(s) and to manage the workflow and professional development of our in-region Executive Support team as an Administrative Manager. The ideal candidate will be a strategic partner to the executives, anticipating their needs, streamlining processes, and ensuring the smooth and efficient operation of their daily activities. This role requires exceptional communication, problem-solving, and leadership skills, as well as a proven ability to handle confidential information with discretion.

Executive Support Requirements
- Manage complex executive calendars, including scheduling meetings, appointments, and travel arrangements, both domestic and international, ensuring optimal time management and anticipating potential conflicts.
- Prepare and edit correspondence, reports, presentations, and other documents with accuracy and attention to detail.
- Organize and maintain executive files and records, ensuring easy access and retrieval of information.
- Screen and prioritize incoming communications, including phone calls, emails, and mail, responding or delegating appropriately.
- Coordinate and manage logistics for meetings and events, including room setup, catering, and material preparation.
- Process expense reports, invoices, and other financial documentation accurately and in a timely manner.
- Conduct research and gather information as needed to support executive projects and initiatives.
- Act as a point of contact between executives and internal/external stakeholders, maintaining professional and courteous relationships.
- Handle confidential and sensitive information with the utmost discretion and integrity.
- Anticipate the needs of the executives and proactively take action to ensure their efficiency and productivity.
- Should be flexible with timings depending on the need of support required.
People Leadership Requirements
- Supervise and mentor a team of early-career Executive Assistants, providing guidance, training, and support for their professional growth.
- Delegate tasks and projects to junior assistants, ensuring equitable distribution of workload and alignment with their skill sets.
- Oversee the day-to-day activities of the junior assistants, ensuring timely and accurate completion of their responsibilities.
- Conduct regular check-ins and performance reviews with junior assistants, providing constructive feedback and identifying areas for development.
- Foster a positive and collaborative team environment, promoting effective communication and teamwork within the administrative support team.
- Participate in the recruitment and onboarding process for new administrative support staff as needed.
- Identify opportunities for process improvement within the administrative function and implement best practices.
- Ensure adherence to company policies and procedures within the administrative support team.
Qualifications
- Proven experience (typically 7+ years) as an Executive Assistant, with a significant portion of that experience supporting senior-level executives.
- Demonstrated experience in managing or mentoring administrative support staff.
- Exceptional organizational, time management, and prioritization skills with the ability to manage multiple tasks and deadlines effectively.
- Excellent written and verbal communication skills, including strong grammar, proofreading, and editing abilities.
- Proficiency in Google Suite and other relevant software and technology.
