Requirements

Bachelor's degree in Business Administration or equivalent degree
Proven experience in pharmaceutical marketing or sales coordination roles
At least 5 years of experience in comparable roles within the pharmaceutical industry
Solid understanding of German pharmaceutical compliance regulations
Operative experience with Veeva PromoMats and MLR processes
Strong project management, organization, and communication skills
Advanced proficiency with office software (e.g., Office 365), administrative/finance tools, and contract management systems
Fluency in German and English

Responsibilities

Coordination of sponsorship agreements and other contract requests
Support for event and meeting planning, including venue and material coordination; manage HCP events such as congresses, symposia, educational meetings, and expert panels in collaboration with Commercial and Medical Affairs teams
Independently manage and track requests related to promotional and scientific events
Interface with external vendors, creative agencies, and internal teams
Administration of OPEX budget tracking tools and reports
Coordination of promotional material submissions and (re)approvals in Veeva PromoMats
MLR review process support and follow-up
Ensure compliance with internal SOPs and industry regulations during the approval process
Coordinate and supervise timely production of marketing materials with external vendors
Initiate and track contracts including sponsorships and service agreements
Collaborate with procurement to manage Purchase Orders, invoices, and supplier onboarding in collaboration with the Finance/Procurement Team
Maintain clear communication with agencies and print service providers for materials and campaigns, ensuring timelines and agreements are adhered to
Support updating marketing material libraries, including upload to Veeva Vault and SharePoint
Ensure timely follow-up for certifications and re-approvals of promotional materials
