Requirements

  • Bachelor's degree in Business Administration or equivalent degree
  • Proven experience in pharmaceutical marketing or sales coordination roles
  • At least 5 years of experience in comparable roles within the pharmaceutical industry
  • Solid understanding of German pharmaceutical compliance regulations
  • Operative experience with Veeva PromoMats and MLR processes
  • Strong project management, organization, and communication skills
  • Advanced proficiency with office software (e.g., Office 365), administrative/finance tools, and contract management systems
  • Fluency in German and English

Responsibilities

  • Coordination of sponsorship agreements and other contract requests
  • Support for event and meeting planning, including venue and material coordination; manage HCP events such as congresses, symposia, educational meetings, and expert panels in collaboration with Commercial and Medical Affairs teams
  • Independently manage and track requests related to promotional and scientific events
  • Interface with external vendors, creative agencies, and internal teams
  • Administration of OPEX budget tracking tools and reports
  • Coordination of promotional material submissions and (re)approvals in Veeva PromoMats
  • MLR review process support and follow-up
  • Ensure compliance with internal SOPs and industry regulations during the approval process
  • Coordinate and supervise timely production of marketing materials with external vendors
  • Initiate and track contracts including sponsorships and service agreements
  • Collaborate with procurement to manage Purchase Orders, invoices, and supplier onboarding in collaboration with the Finance/Procurement Team
  • Maintain clear communication with agencies and print service providers for materials and campaigns, ensuring timelines and agreements are adhered to
  • Support updating marketing material libraries, including upload to Veeva Vault and SharePoint
  • Ensure timely follow-up for certifications and re-approvals of promotional materials
