Responsibilities

Direct and own all office management, including reception, building access, mail services, conference services, catering, basic technical support and general clerical support for the Chicago office
Provide backup executive assistant support to the CEO & Co-founder as needed, including calendar management, travel coordination, expense reporting and clerical support
Collaborate with the Executive Assistant to manage executive scheduling priorities, ensuring seamless communication and workflow between leadership, teams and external stakeholders
Partner closely with the Executive Assistant to coordinate and execute complex travel arrangements, itineraries and logistical details for executive leadership, board members and visiting guests
Assist with preparing presentations, reports and correspondence on behalf of the executive team
Plan, organize and execute all office events, team-building activities and company gatherings, including venue selection, catering, transportation and communications
Champion a positive, inclusive and high-energy workplace culture by fostering engagement and ensuring all employees and visitors feel welcome and supported
Ensure the office environment reflects the company’s brand by maintaining a high-standard, organized, welcoming and safe workspace conducive to creativity and collaboration
Communicate regularly with company leadership to provide updates, flag operational issues and suggest improvements to office systems and processes
Oversee office procurement of supplies, furniture, equipment and capital assets while managing vendor relationships and maintaining budget discipline
Maintain a unified working relationship with teams in global offices
Liaise with building management, facilities vendors and subcontractors to ensure timely and satisfactory performance of services
Order beverages, snacks and meals, maintain stock of supplies and monitor expiration
Adapt office operations, space planning and workplace processes
