Responsibilities

Maintain clear and timely communication with internal teams (Receiving, Shipping, Production, Quality, and Procurement) regarding outgoing and incoming shipments, including notifications of expected deliveries, tracking information, delays, and daily shipping updates
Review and process daily outgoing shipment requests, ensuring accuracy of part numbers, quantities, and shipping instructions; coordinate with carriers for pickups; verify documentation (packing lists, BOLs, commercial invoices); communicate issues/delays; log shipments in the company system
Monitor inbound shipment schedules and tracking updates; communicate expected arrival times and special handling to Receiving team; follow up on delayed or incomplete shipments with suppliers/carriers
Assist with preparation and review of customs documentation for compliance; work with customs brokers/freight forwarders on clearance issues; maintain records of international shipments for audits
Collaborate with Procurement and Receiving to resolve issues with open or delayed PO lines; identify potential receiving errors and communicate to Materials Supervisor
Identify recurring shipment or communication issues and propose process improvements; support team members to meet daily goals and timelines
