Responsibilities

  • Provide 5-star customer service to all employees via all communication forms
  • Evaluate current active records system for compliance through inventories and reviewing retrieval needs
  • Monitor and listen to customers to understand inquiries and provide accurate records information and prompt assistance
  • Coordinate information creation, receipt, storage, retrieval, and disposition
  • Ensure security and preservation of records in records centers and inactive records
  • Work with departments on special information research and retrieval projects
  • Ensure application of retention schedules to inactive records
  • Answer verbal, telephone, written, and email inquiries about records requests efficiently
  • Prepare new files within records system guidelines
  • Receive inbound mail/packages, sort incoming mail, and input into chain of custody software
  • Manage outgoing mail/package transactions
  • Notify employees upon receipt of inbound deliveries
  • Submit work orders for certain requests
  • Maintain the Business Service Center area in a neat and orderly fashion
  • Proactively seek out additional work during downtime
  • Build professional relationships with customers and other teams
  • Maintain professionalism and composure when interacting with all employees
  • Train backups and provide guidance on policies and procedures
  • Determine additional support needed for sensitive inquiries
  • Provide exceptional customer service to clients
  • Provide reception/concierge (front office) or office services (back office) coverage as needed
  • Assign tasks to team members
  • Determine completion timelines and monitor progress to keep projects on track and on schedule
  • Communicate clear instructions to team members
  • Create and distribute reports to update the company on team progress
  • Work with supervisor to determine day-to-day operational needs at site
