Requirements

  • 2+ years of experience in photo, video, or integrated content production, preferably in a studio or agency environment
  • Strong organizational and coordination skills with the ability to manage multiple projects simultaneously
  • Ability to travel domestically & internationally for seasonal location-based shoots
  • Hands-on understanding of casting coordination and on-set production workflows
  • Proven Airtable proficiency — comfortable building and managing production trackers, calendars, and shoot documents
  • Strong grasp of photo and video production fundamentals, vendor management, casting coordination, and digital asset workflows
  • Proactive, highly organized, detail-oriented, and thrives in a fast-paced production environment
  • Fluent in Airtable and comfortable managing production documents and dashboards

Responsibilities

  • Support end-to-end logistics for Always On photo and video shoots, including scheduling, crew bookings, call sheets, travel coordination, catering, equipment rentals, and shipping
  • Partner with the Casting Manager and Sr. Production Manager to source, track, and organize casting needs — managing submissions, talent releases, and shoot-day support
  • Maintain and update production documents and dashboards in Airtable, ensuring all shoot information, budgets, and deliverables are current and accurate
  • Assist with vendor and freelance onboarding, POs, contracts, and payments in partnership with Production Operations and Finance
  • Track production expenses, reconcile receipts, and maintain transparency across project budgets
  • Serve as on-set coordinator or production representative as needed — supporting producers, crew, and creative teams to ensure smooth execution
  • Partner with Post teams to track deliverables, review links, and manage feedback rounds through internal systems
  • Facilitate timely updates between production, creative, and marketing partners — ensuring all teams are aligned on timelines, deliverables, and approvals
  • Support ongoing process improvement by identifying workflow gaps, proposing efficiencies, and helping document best practices for the Always On team
