Requirements

  • Ability to perform clerical, receptionist, and billing functions timely and accurately
  • Strong communication skills for answering telephones courteously within three rings, greeting visitors, and directing calls/messages
  • Proficiency in typing general messages, making appointments, filing documents, copying, sorting mail, and maintaining filing systems
  • Knowledge of billing processes, including producing claims, preparing deposit worksheets/tickets, balancing accounts receivable, posting payments/denials, and using Excel
  • Skills in maintaining medical records, reviewing files, filing reports, and managing supplies fiscally
  • Ability to prioritize tasks, organize workload, and respond to requests from physicians, patients, families, visitors, and providers
  • Capability to assist in crises, codes, patient arrival/departure under clinical staff direction
  • Punctuality, preparedness, and active participation in meetings, committees, and team projects
  • Understanding of HR policies, customer service orientation, and positive team interaction
  • Willingness to attend mandatory in-services, drills, evacuations, and hospital activities

Responsibilities

  • Perform departmental clerical and receptionist functions timely and accurately, including answering phones, greeting/screening visitors, typing messages, making appointments, filing, copying, sorting mail
  • Maintain filing systems, ensure forms availability, and manage medical records (review, file reports, correct placement)
  • Perform billing functions: produce claims, prepare deposits/worksheets/tickets, balance receivables, prepare fee/vendor bills, post denials/payments in system/Excel, assist with statements
  • Maintain supplies: order food weekly, sign out/distribute prudently, anticipate needs to avoid interruptions, enter patient-specific charges
  • Facilitate communication: relay messages/information to patients, families, visitors, providers; report to manager/provider
  • Respond to physician/patient requests, codes/crises under clinical direction, assist patients at arrival/departure
  • Participate in committees/meetings: attend, contribute positively, take minutes, share results, promote team environment
  • Promote patient care/safety, intra-department communication, and system improvements (feedback, memos, problem resolution)
  • Serve as customer-service role model, interact sensitively with employees, physicians, public
  • Adapt to system changes, attend department meetings/in-services, participate in drills/evacuations/emergency codes
