Requirements

  • High school diploma or GED
  • Previous customer service experience preferred
  • Excellent oral, written, and interpersonal communication skills
  • Strong customer service orientation skills
  • Ability to multi-task while being a team player
  • Excellent organization skills
  • Excellent typing skills and ability to work with a computer
  • Reliable transportation to get to the assigned area
  • Successful completion of background check (including criminal record, driving record, abuse/neglect, and fingerprint check)
  • Completion of New Hire Orientation and all training requirements (including Relias annually)
  • Current driver’s license, acceptable driving record, and current auto insurance
  • Physical ability for sedentary work

Responsibilities

  • Perform receptionist and clerical duties, including scheduling clients, collecting payments, and maintaining current and updated client paperwork
  • Greet clients, verify personal information (address, telephone, etc.), verify method of payment and insurance, collect co-payments, enter information into the computer system, and provide requested information
  • Schedule clinicians’ appointments and obtain clients' benefits and eligibility
  • Handle bumping, canceling, and no-show appointments according to established processes
  • Work with clients, families, and/or staff to resolve problems during visits
  • Provide leadership with perceptions of clinician office practice services
  • Request, prepare, and ensure completeness of client health records
  • Collect payments, make changes, complete receipts, and record transactions appropriately
  • Compare daily cash amounts against transactions to ensure records balance
  • Verify and coordinate client referrals
  • Effectively utilize Electronic Medical Records applications
  • Answer phone system, handle or direct calls, and place calls as requested
  • Manage dynamic, potentially stressful client encounters
  • Maintain the general appearance of the waiting room or reception area (e.g., straighten magazines, chairs)
  • Maintain working knowledge of office equipment (fax, copiers, phones, etc.)
  • Participate in service monitors and quality improvement programs
  • Use excellent guest relations skills in all interactions with clients, visitors, and staff
  • Perform additional duties and projects as assigned by leadership
