Requirements

  • Ability to provide clerical support to operations department personnel

  • Skills in maintaining accurate files and filing systems for operations documentation and miscellaneous documents
  • Proficiency in writing, typing, or entering accurate information into computers to prepare reports and copy records
  • Capability to prepare requisitions for office, computer, and routine supply purchases
  • Ability to research, track, and resolve (or refer) documentation problems and discrepancies
  • Establish and maintain effective communication and coordination with company personnel and management
  • Knowledge of Hazmat paperwork, placards, and stamping procedures
  • Experience with radio communication for coordinating with yard jockeys and warehouse personnel
  • Familiarity with downloading, printing, and managing time temperature recorders (TTR) for HACCP and refrigerated loads
  • Ability to handle temp abuse loads, including communication, inspection coordination, stamping, and forwarding documentation
  • Skills in coordinating pallet trailer movements via radio with yard jockeys
  • Proficiency in communicating trailer issues via hand-held radio
  • Experience with sending emails for unbilled requests, BOL requests, and PO removal
  • Ability to print and use the ‘Scheduled Appointments Report’ for inbound appointments
  • Knowledge of tasking ‘drop’ inbound appointments via SWMS and calling guard shack for ‘Live’ appointments
  • Capability to compile and send vendor compliance issues from warehouse receipts
  • Ensure damages are noted on OS&Ds with appropriate photographs, posted to ‘Supplier Compliance’ folder

Responsibilities

  • Maintain accurate files and filing systems including operations documentation and miscellaneous documents
  • Write, type, or enter accurate information into the computer to prepare reports and copy information from one record to another
  • Prepare requisitions for office, computer, and routine supply purchases
  • Research, track, and resolve (or properly refer) documentation problems and discrepancies to supervisor or as appropriate
  • Ensure all Hazmat paperwork is accurate and prepared for drivers; include proper Hazmat placards with outbound paperwork and affix Hazmat stamp
  • Convey Hazmat loads via radio to yard jockeys and coordinate proper placard placement on trailers
  • Perform radio battery changes/maintenance for warehouse personnel appointments as needed
  • Download TTRs for inbound loads with HACCP items or refrigerated items, print temperature reports, attach to receiving paperwork and BOL, and save to ‘O’ drive; keep HACCP and refrigerated documents separate
  • Communicate all temp abuse loads to supervisor, coordinate move to dock for inspection, provide temp abuse form to unloader/receiver
  • After temp abuse confirmation, stamp documents, download TTRs if included, and forward temp abuse form, photos, and TTR report to RDC Claims Coordinator
  • Coordinate pallet trailers to/from dock doors by radioing yard jockeys upon request
  • Communicate trailer issues to yard jockeys via hand-held radio
  • Send emails to ‘177-Shipment Move-DL’ for unbilled requests, BOL requests, and PO removal as needed
  • Print ‘Scheduled Appointments Report’ as daily guide
  • Task ‘drop’ inbound appointments via SWMS to yard jockeys for dock doors; call guard shack for ‘Live’ appointments
  • Compile vendor compliance issues from warehouse receipts and send to Supplier Compliance Specialist
  • Ensure damages are noted on OS&Ds with photographs of damaged product and post to ‘Supplier Compliance’ folder
  • Print out relevant reports or documents as part of operations support
