  • Ability to operate within scope of practice of a Medical Assistant as outlined by company and state guidelines

  • Competency in effective call handling, building rapport, active listening, deescalating patients, critical thinking, planning, problem-solving, and escalating priority situations
  • Collaborative team member with effective communication skills, positive attitude, and participation in team/staff meetings
  • Achievement of goals including schedule adherence, availability, appointment conversions, product knowledge, quality, and compliance

Responsibilities

  • Answer all back office incoming calls and voicemails for practices as needed
  • Understand provider preferences and scheduling instructions; complete registration and scheduling per procedures; confirm, cancel, and reschedule appointments
  • Assist patients with instructions to complete forms, register for portal access, and set appointment expectations
  • Support marketing efforts, promotions, and campaigns through patient interactions to achieve appointment conversions
  • Review pathology and lab results with patients per provider’s instructions
  • Schedule office appointments, surgical procedure appointments, and urgent visits as necessary
  • Phone prescriptions and refills to pharmacy per provider’s instructions, including initiation and management of prior authorizations
  • Provide overview of products and procedures to patients
  • Follow up with patients post-visit for future visit scheduling
  • Provide patient instructions verbally or in writing for post-care per provider instructions
  • Demonstrate effective call handling, including deescalating patients and escalating priority situations (e.g., adverse reactions)
  • Manage patient correspondence, internal and external communication, service, and support
  • Complete assigned daily activities and achieve expected goals
  • Communicate effectively with leaders, providers, practice staff, and co-workers; participate in team/staff meetings
  • Serve as internal service support, assist with provider schedule adjustments, and other administrative needs
  • Comply with departmental standards regarding training, professional development, and communication
