  • Demonstrated proficiency in QuickBooks and other spreadsheet programs

  • Ability to work onsite in Augusta, Maine one day per week

Responsibilities

  • Process invoices and expense reimbursements in a timely and accurate manner
  • Track and follow up on outstanding payments or receivables
  • Maintain documentation for all financial transactions in accordance with policy and auditing requirements
  • Enter and categorize expenses into the accounting system (e.g., QuickBooks or similar)
  • Maintain organized digital and physical files for financial documents
  • Assist with coding expenses to the correct grant, project, or department
  • Assist with ordering of materials and reconciling receipts
  • Support project-related stipends, W-9 collection, and reimbursement processing
  • Schedule finance-related meetings, assist with budget templates or reports
  • Help prepare and distribute monthly financial updates to teams
  • Respond to internal requests for documentation or support
