Requirements

  • NEBOSH General Certificate, or French equivalent (e.g. Technician en prévention, HSE diploma, or SST certification)
  • Knowledge of French and European H&S regulations (fire safety, first aid, occupational health)
  • 2–3 years’ experience in health & safety, compliance, or facilities coordination
  • Experience managing training administration, compliance records, and vendor coordination
  • Background in office or coworking environments preferred
  • Excellent organizational and administrative skills
  • Ability to respond calmly and effectively in incidents
  • Strong attention to detail in record-keeping and compliance monitoring
  • Proficiency in English and French (spoken and written)
  • Strong communication and interpersonal skills for supporting members, vendors, and teams

Responsibilities

  • Maintain accurate records of all health and safety training, medical checks, and certifications
  • Schedule and coordinate fire safety, first aid, and occupational health training with approved providers
  • Manage filing and updates for Emergency Action Plans (EAPs), risk assessments, and compliance registers
  • Support the facility managers and community teams in the preparation of evacuation drills
  • Track completion of mandatory H&S training across the portfolio and prepare progress reports
  • Monitor contractor/vendor certifications and ensure up-to-date compliance documentation
  • Assist with the organization of health surveillance and medical checks where required by law
  • Prepare documents for audits, inspections, and regulatory visits
  • Respond to health and safety requests from members and community teams, escalating issues when needed
  • Work with the Operations and Health & Safety teams to provide support during incidents and escalate when necessary
  • Support ergonomic assessments across the buildings
  • Liaise with the Operation Director to ensure consistency of compliance across Continental Europe
  • Escalate risks, incidents, or non-compliance to the Operation Director in line with company procedures
  • Provide practical assistance to community teams to ensure compliance at building level
