Responsibilities

  • Provides exceptional client service and builds relationships with clients through service, respect, and professionalism
  • Contributes to smooth communication throughout a client’s visit and seeks answers to any client questions or concerns
  • Supports healthcare recommendations and educates clients on care or products for their pets
  • Contributes to the cleanliness and organization of the practice
  • Greets, handles, and treats pets with kindness, compassion, patience, and skill using Fear Free techniques
  • Nurtures a safe and secure environment for pets and advocates for the patient
  • Helps provide organized and calm procedural and patient flow
  • Contributes to a positive, healthy culture using a collaborative approach
  • Fosters open, proactive, and cooperative relationships and supports new ideas and positive changes
  • Follows progressive patient care standards and supports a positive work environment
  • Supports and participates in all voluntary and mandatory accreditations, regulations, and training (e.g., AAHA, Fear Free, etc.)
  • Welcomes and supports clients and pets, adapting responses to the situation
  • Performs clerical and reception duties, client and in-patient intake/discharge, schedules appointments, answers questions, and maintains front office and exam room flow
  • Acts as liaison between clients and medical team, relaying information timely and correctly, and addressing issues
  • Manages multi-line phone system to book appointments and direct communications, and responds to e-mails
  • Enters and confirms up-to-date client and patient information into PIMS
  • Tracks new clients/patients, visit frequency, and meets goals for appointment and surgery fill rates
  • Assists in monitoring inventory of office supplies, prescription food, and retail items per guidelines
  • Makes efficient use of drugs and supplies
  • Identifies questionable or missed fees and ensures owners meet financial obligations
